How to Send a Promotional Email to an Audience

Overview

Whether or not your program is successful depends on how well you promote it. With Extole's Email Audience functionality, you no longer need to rely on fitting a promotional email into your existing marketing schedule—you can do it right from within the Extole platform with just a few clicks!

Create the Email

Step 1

The first step in promoting your program is to create a promotional email. You can do this from your Campaign Dashboard.

  • If you have more than one campaign in your program, we recommend adding the email from one Campaign Dashboard, editing the copy and creative in the Campaign Editor, and then adding the edited email to the rest of the campaigns in your program.

On your Campagin Dashboard, scroll down to the Promotions section and click the blue + New Email Promotion button:

Step 2

You'll see a list of emails from both your existing campaigns and Extole's default campaigns. You can search for a specific email or filter the list using the menu on the right:

For emails from your existing campaigns, the program name appears just below the email name. For example, an Advocate Invite Email from your Super Advocates program would display as follows:

Emails from Extole's default campaigns, on the other hand, do not have a program name beneath them:

On the right hand side of the drawer, you'll see a preview of the email as well as its subject line. Simply give it a unique name and click Add Email Promotion in the bottom right:

Make Creative Changes

Once you've successfully created your email, it will appear in one of the tabs of the Campaign Editor for that campaign (e.g., the Advocate tab, Marketing tab, etc.). Here you can preview the email and update the copy, styling, and images accordingly. Remember to publish your changes!

After applying your creative changes, you can add the updated the email to any additional campaigns via the + New Email Promotion button using the steps provided above.

Select an Audience

Once you have your email created and added to the right campaigns in your program, you're ready to choose your audience.

Choose or Create an Audience

If you have a file containing the people you'd like to email, you can use that file to create an audience on the My Audiences page. You can also select an existing audience that Extole has created for you, using data from your exisitng programs. Learn more about My Audiences.

Sending the Email

Once you've chosen your audience, it's time to send your email.

Step 1

Select the audience on your My Audiences page and click the Email Audience button in the top right.

Step 2

After clicking the Email Audience button, you will see a list of emails in all live campaigns. Select the correct program from the dropdown, then select the email you created for this audience.

Step 3

In the Advanced section, you'll have the option to send the email through all campaigns within that program—this will only work if you've added the email to all campaigns—or to select the specific campaign.

Step 4

Once you've specified the email, program, and campaign(s), you can choose to either send a test email to yourself or a team member or just go ahead and send the email to your audience.

We recommend sending a test email first to confirm everything looks and performs correctly.
