Overview

Running a program that is exclusive to a particular group of people, like a referral program for your employees, means you have to keep your list of eligible program participants up to date. Within Extole, this list of people is likely set up and maintained in your My Audiences page.

This article covers the ways in which you can update your audience in Extole to ensure the right people are able to participate in your program over time.

Keep Your Audience Up-to-Date with Eligibility Files

If your list of program-eligible people is subject to change, you'll need to keep your audience within Extole current. Depending on the nature and frequency of these changes, you can update your audience in one of two ways.

Option 1: Manually update your audience

If you only need to make small or infrequent changes to your audience, you can easily do so directly in the Extole platform. Simply select your audience and use the provided controls to edit your members.

Add and remove individual members

  • Add individual members by hitting the Add Member button and entering the person's email address and, optionally, their first and last name.

  • Remove individual members searching for them by email, then hitting the X on the far right.

Add, replace, or remove members in bulk

  • Hit the Edit Member List button to upload a new file of people. A configuration window will slide out from the right side of your screen.

  • This file can be used to add new people to the audience, remove existing people from the audience, or to replace the audience entirely.

  • Simply browse for your file or drag and drop it into the uploader, then hit Apply.

Option 2: Automatically send and update your audience via SFTP

If you need to make large or frequent updates to your audience, or you would simply like to streamline your workflow, we recommend working with your Extole team to set up an automated file transfer that runs on a set schedule.

Essentially, you will send a new eligibility file to Extole via SFTP every day, week, or at whatever cadence you choose, and we will automatically replace your existing audience with that file.
